Small Business at Work

For many people, the 'Position Description', is one of those things that seems like a good idea, but isn't really necessary, and not much real use.

Experience shows that when an employee does not deliver the results you expect, it is usually the result of your shiny new employee not adequately understanding what they should do.

They don't know how you will judge their performance. The Position Description covers both these fundamental issues.

When a problem arises later, it is too late to start writing a Position Description. Do it now!

Position Description Source Information

To have a new Position Description created for an employee, complete this Position Description blank, then transmit using the 'Send It' button at the end. My Red Zebra will produce a full, formal position description, and return it to you to give to your employee, and to use for future performance appraisals.

Put something in every field. If there's an item you don't need, insert 'X' in the relevant field.

Once received, you should keep a copy of the new position description with your employee records. Each position description is usually provided with a 'key number' for tracking purposes.

You can use an existing key number if you have one, or you can assign your own key number by inserting it here (use a format and numbering system that suits you) or, if you choose to work without a key number, leave the word "blank" as it is. We will assign a key number for you.

From the 'Help' page, you can open a sample Position Description in a new window, and refer to it while completing this blank.

To update each position description in line with changing circumstances, just submit a new form with your new details, and refer to the original key number. An updated position description will be provided.

Now set out the way in which you will assess performance. We suggest using three to five 'Key Performance Indicators'.

Each KPI measures a function that must be done very well by this employee for your business to get ahead.

Measure performance on each KPI, using several - but not more than five - key performance measures (KPM's).

(See the sample for examples of KPI's and KPM's. Put something in every field. If there's an item you don't need, insert 'X' in the relevant field.)
